Assigning, receiving and passing work on again happen in one flow
Tasks breaks big work down into subtasks and dependencies, and tracks it through assigning, accepting and handing off. Work from meetings comes straight in, and tasks are shared in Messenger as task cards. AI Crew also takes on tasks and reports results, and a person checks before the work is wrapped up.
Designed for: Team leads and project owners who split work across departments and partner companies, and keep having to ask who has done how much
When you need it
In launch prep, the photo shoot waits for the sample inspection, and the product description waits for the shoot. When an early step runs late, the person on the later step is the last to know.
When someone who got a task from the team lead splits it among coworkers, it becomes unclear who is finally responsible. There is no way to decline or hand off an assigned task, so it all happens in chat.
Even when you give work to an AI, you cannot tell where the result ended up or whether a person checked it. The task list and the AI's work live apart.
How it differs from general work tools
Accepting, declining, handing off, taking back and reassigning are all recorded. The flow continues even when the person who received a task assigns parts of it again.
AI Crew creates and takes on tasks, and reports results. Work AI Crew does is finished only after a person checks it.
What a meeting decided comes in as tasks, and task cards show up in Messenger conversations.
Key features
Break work down, assign it and check it in one place.
Subtasks and dependencies
Break big work into subtasks, and link them with dependencies that show which work must finish before the next can start. When an early step runs late, you see right away which work is affected.
- Subtasks
- Linked dependencies
Quick add and 5 views
Jot down work as it comes to mind with quick add. Switch the same tasks between 5 views to check progress on your work and your team's.

Assign and assign again
When you assign a task, the person who receives it can accept, decline or hand it off to someone else. The assigner can take it back or reassign it, and the receiver can split the work and assign it again. A notification goes out with each change.
- Accept, decline, hand off
- Take back, reassign
- Receivers assign parts again, with notifications
Connected to meetings and Messenger
Send tasks from Video meeting into Tasks. Tasks are shared in Messenger as cards, and selecting a card opens the task screen.

Tasks with AI Crew
AI Crew creates and assigns tasks, carries out the tasks it takes on and reports the results. Results come to the responsible person as check requests, and work moves to the next step only after that person checks it.
- Create and assign tasks
- Report results
- Ask a person to check
View in Calendar, Today and mobile
Viewing tasks on top of Calendar, and checking them in the Today brief and the phone list, is offered as a beta.

What AI Crew does and what people decide
- Creates tasks and assigns them to the responsible person
- Carries out the tasks it takes on and reports the results
- Asks a person to check results that need checking
- Whether to accept a task they receive, or decline or hand it off
- Checking AI Crew's results and deciding when work is done
- Priorities and deadlines, and taking back or reassigning when needed
Working with AI Crew: an example
Example: the fictional company Ondam Living Co. prepares to launch its new fall product, the "Ondam mug set".
After the quality check meeting, the quality lead turns "Redo the packaging drop test" from the meeting record into a task and assigns it to the logistics team lead.
The logistics team lead accepts it, then assigns subtasks: "Receive test samples" to a coworker and "Organize test result photos" to AI Crew. A dependency makes sure the test starts only after "Receive samples" is done.
AI Crew organizes the test result photos, reports the result and asks the logistics team lead to check.
The logistics team lead checks the result, marks it done and shares the task card in the launch channel.

Admin and security
- Tasks AI Crew carries out are complete only after the responsible person checks the results.
- Admins can make the check rules stricter, but they cannot loosen them.
- Sign in once and use every service with the same organization and permissions. Admins decide which services each role can use, and add exceptions only for the people who need them.
- AI Crew sees materials and works only within the permissions of the person who assigned the work.
- The flow of assigning, accepting, handing off, taking back and reassigning is recorded, along with what AI Crew did. Each company's data is kept separate on both the server and the database.
Frequently asked questions
Can I decline a task I receive, or hand it off to someone else?
Yes. The person who receives it accepts, declines or hands it to someone else. The assigner can take it back or reassign it to someone else.
Can I split work I received and assign it to coworkers?
Yes. The person who received it splits it into subtasks and assigns them again, and the record of who assigned what to whom stays as it is.
Is work done by AI Crew marked done right away?
No. AI Crew reports the result and asks the responsible person to check. It changes to done and moves to the next step only after that person checks it.
Does the AI suggest task candidates first?
The feature where the AI suggests task candidates first (the suggestion box) is in preparation. For now, you can ask AI Crew directly to create tasks.
Can I see tasks in Calendar or on my phone?
The Calendar overlay, the Today brief and the phone list are offered as a beta.
